What Makes an Enquiry Quotable
Six details turn a general enquiry into a specification-linked offer the same week.
The difference between an indicative number and a firm, contractable offer is the precision of the brief. When the trade desk receives the commodity and grade, the volume, the packaging format, the destination port, the incoterm and the shipment window, it can price the exact stack behind your requirement: mill price for that grade, bagging and marking, inland movement to the load port, terminal handling and documentation, and ocean freight and insurance where the incoterm includes them.
Grade is the parameter buyers most often leave open. For rice, state the broken percentage, moisture ceiling, average grain length and any admixture tolerance your channel demands. For pulses and oilseeds, state screen size, purity and the defect allowance. If you are unsure, describe the end channel instead — retail chain, wholesale repacking, food service or industrial processing — and the desk will propose the grades that normally serve it, together with samples.
Packaging should be chosen for the destination channel rather than the lowest bag cost. Retail-ready printed bags need artwork approval time, so tell us early if your programme is branded; plain jute or PP bags for wholesale can move as soon as the lot is milled. Where the corridor crosses humid zones, liner protection is specified as part of the offer rather than added later.
Finally, name the payment structure you expect to work with. A first shipment under an irrevocable letter of credit at sight, or an advance percentage with the balance against shipping documents, is normal practice and costs nothing to state up front. Sharing the letter of credit draft before your bank issues it is the single cheapest way to avoid amendment fees later.

- Sourcing check. The requirement is matched against mill and processing partners for the grade and the shipment window, so the number you receive reflects material that can actually be produced.
- Written offer. The offer restates every parameter — grade, packaging, incoterm, named port, shipment window, payment structure and validity period — so it can be compared line for line against other quotations.
- Samples where useful. Samples are drawn against the written specification, so what you evaluate matches what would be contracted.
- Working hours. Monday to Saturday, 09:00–18:00 IST. Enquiries received outside those hours are picked up on the next working morning.
